Privacy Policy for the Ravenna Group Employee App

1. Data controller

The data controller is Ravenna Group (di Ravenna Francesco), with registered office at Viale Carlo Noè, 45, 21013 Gallarate (VA), Italy.

2. Data processed by the app

The app is intended exclusively for employees and collaborators of Ravenna Group and is used to manage attendance, company vehicles and internal communication. The following categories of data may be processed:

• Identification data: first name, last name, internal employee / driver code.
• Contact data: corporate email address, phone number (if provided).
• Authentication data: login credentials, internal PIN, session tokens.
• Attendance data: check-in/check-out times and attendance history (NFC / QR).
• Data relating to company vehicles assigned (plate number, usage period, notes).
• Internal communications, leave/holiday requests and related approval status.

3. Purposes of processing

Data collected through the app are processed for the following purposes:

• Managing employee attendance and work shifts.
• Managing company vehicles and their assignment to employees.
• Managing leave/holiday requests and operational communication.
• Improving work organisation and internal safety.
• Complying with legal, administrative and accounting obligations.

4. Legal basis

Processing is based on the performance of the employment/collaboration contract, on the employer’s legal obligations and on Ravenna Group’s legitimate interest in efficiently managing staff, attendance and company vehicles.

5. Use of device features

The app may use the device camera to scan QR codes and the NFC reader to scan corporate badges. The app does not perform continuous GPS tracking of employees, unless otherwise specified in a separate notice.

6. Data recipients

Data may be processed by authorised staff of Ravenna Group (e.g. administration, HR office, branch managers) and by external service providers (IT and hosting), appointed as data processors pursuant to Art. 28 GDPR.

7. Data retention

Data are stored for as long as necessary for the above purposes and, in any case, in compliance with applicable labour, tax and accounting laws.

8. Data subject rights

Employees can exercise the rights granted by the GDPR, including:

• right of access to their personal data;
• right to rectification or update of data;
• right to restriction of processing, where applicable;
• right to object to processing on legitimate grounds;
• right to lodge a complaint with the competent Supervisory Authority.
